A practical guide

What to prepare
when you want to organise know-how.

Twelve questions for you and your team. You do not need every answer; they help you choose a sensible first step.

What recurs in your work?

Choose one situation, question or decision you return to regularly.

What slows you down most?

Searching, explaining, checking versions or repeatedly correcting a result?

Who understands it best?

Identify the domain owner and people who know routine cases and exceptions.

Where is the material?

An overview is enough: documents, spreadsheets, emails, internal systems or people’s experience.

What is approved and what is merely customary?

Distinguish current rules, working habits, personal opinions and open questions.

Which exceptions recur?

Think of cases where the standard guide is not enough.

Who decides when something is unclear?

Identify a person who can confirm a rule or approve an exception.

How often does the content change?

Continuously, after a contract changes, annually or following a specific event?

What should become easier after the work?

Choose an observable result: onboarding, finding information, making a decision or handing over work.

Which cases will we test it against?

Prepare a routine situation, an incomplete request and a case that causes problems today.

Which tools do you want to keep?

Tell us where the team works and who manages access and integrations.

Which data should you not send yet?

An anonymous description is enough for the first conversation. Share sensitive material only after agreeing its purpose and access.

Do not send your whole archive to start with.
One concrete example and an overview of available material will help. We agree the scope, permissions and your team’s time together.

First step

Do not have all the answers?
That is a good place to start a conversation.

We help distinguish what we need to know now from what makes sense to explore in the next step.

Discuss one area of work

First, we clarify your needs and a suitable scope.
